Is Microsoft 365 Already Backed Up? Not Exactly.

Here's a belief that has burned a lot of good businesses:

"It's all in Microsoft 365, in the cloud. Microsoft backs it up. We're fine."

Half of that is true. Your data is in Microsoft's cloud, and Microsoft does an excellent job keeping the service running. But "the service is running" and "your data is backed up the way you think it is" are two very different promises — and the gap between them is where people lose email, files, and a lot of sleep.

Let me explain it the way I'd explain it to a client over coffee.

Microsoft keeps the lights on. You own what's inside.

The cloud runs on something called a shared responsibility model. It's not fine print — it's the whole deal.

Microsoft is responsible for the platform: keeping the servers up, the data centers online, and the service available with strong reliability. They protect against their stuff failing.

You (and whoever manages your IT) are responsible for the data: your emails, files, Teams messages, and SharePoint sites — and specifically for protecting that data against the things Microsoft's uptime guarantee was never meant to cover.

Think of it like renting a great, secure building. The landlord keeps the building standing, powered, and locked. But if you shred an important document, or an employee walks off with a file, or someone you let in trashes your office — that's not the landlord's job to undo.

The data-loss situations your recovery plan needs to cover

None of these are Microsoft failing. They're normal business life:

  • Accidental deletion. Someone deletes the wrong folder or the wrong mailbox. It sits in a recycle bin for a while — and then it's gone for good.
  • The departing employee. An account gets deleted during offboarding, and their email and files go with it. Or a frustrated employee cleans house on the way out.
  • Ransomware and account takeover. If an attacker gets into an account (see our piece on QR code phishing), they can delete or encrypt what's there. Sync doesn't save you — it faithfully syncs the damage.
  • Retention limits. Microsoft's built-in recycle bins and restore windows are time-limited. Discover a problem after that window and the "we can just restore it" plan quietly doesn't exist.

The common thread: Microsoft protects the service. These are all cases where the data is damaged from your side of the line.

"But there's a recycle bin and version history…"

True — and they're genuinely useful. Microsoft 365 gives you real recovery tools: recycle bins, version history, and a OneDrive restore that can roll your files back up to 30 days. When someone catches a bad delete quickly, those often do the job.

The catch is they're built for short-term "oops," not for everything. Those recycle bins and restore windows are time-limited, so if you discover a problem after the window has closed, the built-in option quietly isn't there anymore. A real backup is a separate, independent copy you can restore to a specific point in time — last Tuesday, before the mistake, before the attack — even weeks or months later. The question isn't whether Microsoft gives you any recovery. It's whether what's built in reaches back as far as your business might actually need.

Worth knowing: Microsoft now offers its own paid backup service for Microsoft 365, right alongside the third-party options. That's not proof the built-in tools do nothing — they do real work. It's a sign Microsoft sees the same gap we're talking about: dependable point-in-time backup you can still reach months later is a different job from the recovery features that come in the box. Weigh either option against the retention and restore your business actually needs.

What "closing the gap" actually looks like

You don't need to panic, and you don't need to leave Microsoft 365. You need to add the piece the shared responsibility model says is yours:

  • A real third-party (or Microsoft) backup of the data you'd actually need back — Exchange mailboxes, OneDrive, and SharePoint sites, with independent copies you can restore from. Check Teams on its own: channel files usually live in SharePoint and get covered there, but Teams chats and other Teams content often don't, so don't assume one product protects all of it.
  • Point-in-time recovery, so you can go back to before the deletion or the attack, not just to a recycle bin.
  • Sensible retention that matches how long your business — and your industry rules — actually need records kept.
  • A tested restore, because (as with any backup) one you've never restored is a hope, not a plan.

Done right, this runs quietly in the background and you never think about it — until the one day you're very, very glad it's there.

A 30-second gut check for owners

Ask whoever manages your IT three questions:

  1. If someone deleted an important mailbox or folder 90 days ago and we found out today, can we get it back?
  2. If an account got hit by ransomware, can we restore that person's email and files to the morning before it happened?
  3. Have we ever actually tested a restore — or do we just assume it works?

If the answers are shrugs, you've found a gap worth closing before it finds you.

The takeaway

Microsoft 365 is genuinely great, and Microsoft keeps the service rock-solid. But "in the cloud" doesn't mean "backed up the way you'd want." Under the shared responsibility model, protecting your actual data is your side of the deal. A proper backup closes that gap — and turns a potential disaster into a non-event.
